Track Active and Resigned Directors with Clear Appointment Dates

Vistra Digital's Directors Tab feature gives every legal entity a clear record of its directors, split into Active and Inactive views with the dates each directorship began and ended. See at a glance who currently serves an entity, who has resigned and when, and โ€” for entities you maintain directly โ€” add, edit, resign, and remove directors without leaving the page.

๐Ÿš€ Key Takeaway: The Directors Tab separates active and resigned directors into their own tabs, shows appointment and resignation dates in a consistent format, and lets you manage directors in place for the entities you own.

Key Features & Capabilities

Active and Inactive Director Views ๐Ÿ‘

  • Directors are split across two tabs โ€” Active and Inactive โ€” each showing a live count, for example Active (3) and Inactive (2).

  • The Active tab opens by default. Switch to Inactive to review directors who have resigned.

  • When a tab has no directors, it displays a clear empty state such as No active directors found.

Directorship Date Columns ๐Ÿ“Š

  • The Active tab shows Name, Type, Governance Designation, and Date Appointed.

  • The Inactive tab shows the same columns plus Date Resigned.

  • Dates use a single consistent format โ€” DD MMM YYYY (for example, 15 Jun 2024) โ€” and a director with no recorded date shows a dash (-).

Automatic Status Updates ๐Ÿ”„

  • A director's status is derived from their dates: a director with no resignation date is Active, and a director with a resignation date is Inactive.

  • When a resignation date is added, the director moves from the Active tab to the Inactive tab automatically; clearing that date moves them back.

  • Tab counts update to reflect each change straight away.

Manage Directors in Place โœ๏ธ

  • For the entities you maintain directly, each director row carries a โ‹ฎ action menu with Edit, Resign, and Delete.

  • Use + Add Director to open a side drawer, link an existing profile or create a new one, and set the appointment and resignation dates.

  • Resign captures an effective date and moves the director to Inactive; Delete removes the director after a confirmation prompt.

Bulk Import with Dates ๐Ÿ“ฅ

  • The Directors import template includes Date Appointed (mandatory) and Date Resigned (optional), so you can set up directorship history in a single upload.

  • Import a Date Appointed only to create an active director, or include a Date Resigned to create an inactive one.

  • The import accepts several date formats โ€” DD/MM/YYYY, YYYY-MM-DD, and DD-MMM-YYYY โ€” and validates each row before saving.

Source-Aware Editing ๐Ÿ”

  • Directors sourced from Vistra Digital (manual entry or Excel import) are fully editable.

  • Directors synced from ViewPoint or SAP B1 are read-only, and their management actions are hidden to keep the source system authoritative.

How It Works โ€” Step-by-Step Guide

Step 1: Open the Directors Tab

From a legal entity, open the Directors tab. It opens on the Active view, listing current directors with their Date Appointed, and shows the live count in each tab label.
โ€‹

Step 2: Review Active and Inactive Directors

Stay on the Active tab to see serving directors, or switch to Inactive to see resigned directors and their Date Resigned. Each list is sorted alphabetically by name.

The columns shown on the Active tab are:

Active Directors

Name

Type

Governance Designation

Date Appointed

The columns shown on the Inactive tab are:

Inactive Directors

Name

Type

Governance Designation

Date Appointed

Date Resigned

Step 3: Add a Director

For an entity you maintain directly, click + Add Director to open the drawer. Select an existing director profile or create a new one, choose the Type and Governance Designation, and set the Date Appointed. Add a Date Resigned if the director has already resigned, then Save.

Step 4: Edit, Resign, or Delete

Open a director's โ‹ฎ action menu to make changes. Edit opens the drawer with the current details, Resign records an effective resignation date, and Delete removes the director after you confirm. The list and tab counts refresh with each change.
โ€‹

Step 5: Import Directors in Bulk

Download the Directors import template, complete the Date Appointed and, where relevant, the Date Resigned columns, and upload the file. Each row is validated, and directors are placed in the Active or Inactive tab based on the dates provided.

Step 6: Rely on ViewPoint and SAP B1 Sync

For entities synced from ViewPoint or SAP B1, director dates and status are populated automatically from the source system and kept up to date. These records are read-only in Vistra Digital.

User Benefits

๐ŸŽฏ Clarity: Active and Inactive tabs, with counts and dates, show at a glance who serves an entity and who has resigned.
โ€‹

โฉ Efficiency: Add, edit, resign, and remove directors in place, or import many at once, without leaving the entity.
โ€‹

๐Ÿ” Integrity: Source-aware editing keeps ViewPoint and SAP B1 records authoritative while giving you full control over the entities you maintain.
โ€‹

๐Ÿ“Š Consistency: A single date format and automatic status derivation keep every directorship record uniform and current.

Use Cases

โœ… For Company Secretaries: Confirm the current board at a glance and record appointments and resignations with accurate effective dates.

โœ… For Compliance Teams: Review resigned directors and their resignation dates to support filings and audit requests.
โ€‹

โœ… For Onboarding Teams: Import a full directorship history, including past resignations, in a single upload when setting up a new entity.
โ€‹

โœ… For Entities Managed in ViewPoint or SAP B1: Read accurate, automatically synced director dates and status without manual upkeep.

Frequently Asked Questions

โ“ How is a director's Active or Inactive status decided?

It is derived from the dates. A director with no resignation date is Active; a director with a resignation date is Inactive. Adding or removing a resignation date moves the director between the tabs automatically.
โ€‹

โ“Why can I not edit some directors?

Directors synced from ViewPoint or SAP B1 are read-only so the source system stays authoritative. Only directors sourced from Vistra Digital, whether entered manually or imported from Excel, can be edited.
โ€‹

โ“ What does a dash (-) in a date column mean?

It means no date is recorded for that director. This can occur for synced records where the source system has no value.

โ“ What is the difference between Resign and Delete?

Resign records an effective resignation date and keeps the director in the Inactive tab as part of the entity's history. Delete removes the director after a confirmation prompt.
โ€‹

โ“ Which date formats can I use when importing?

The import accepts DD/MM/YYYY, YYYY-MM-DD, and DD-MMM-YYYY. Date Appointed is mandatory and Date Resigned is optional; a resignation date cannot fall before the appointment date.

Summary

The Directors Tab feature gives each legal entity a clear, dated record of its directors, split into Active and Inactive views with counts, appointment dates, and resignation dates in a consistent format. Status updates automatically from the dates, so directors move between tabs as their records change. For entities maintained in Vistra Digital, you can add, edit, resign, delete, and bulk-import directors in place, while ViewPoint and SAP B1 records stay accurate and read-only through automatic sync.
